Prepare Invoices Correctly: Add Company Details, Tax Information and VAT ID Properly

The Company tab stores the billing and tax details of your business. These values appear on every invoice Funnelforms generates for you through Paddle and drive the correct VAT treatment. Enter the data before your first purchase – already issued invoices cannot be corrected retroactively.

Requirements

  • Active Funnelforms account (Free, Trial or paid plan).
  • Company data is available in every plan – including the Free plan.
  • For correct reverse-charge handling inside the EU: valid VAT ID with country prefix (e.g. DE123456789).

Where to find the company data

Profile menu (top right) → Profile → left sidebar Company.

What this tab does

  • Company name – printed as the invoice recipient on every Paddle invoice.
  • Address, Postal Code and City – your full billing address.
  • Country – drives Paddle's VAT logic (e.g. reverse-charge inside the EU).
  • Tax ID / VAT Number – optional, but recommended for EU B2B customers.
  • The data is used solely for invoicing and is transmitted to Paddle (it is not used as the sender name for form notifications — that is configured separately under Email Service per form).
  • Required fields: technically all fields are optional. For a tax-correct Paddle invoice you should however fill in Company Name, Address, Postal Code, City and Country before your first purchase. The VAT Number is optional but recommended for EU B2B.

Step by step: store your company data

  1. Open the profile menu in the top right and select Profile.
  2. Click Company in the left sidebar.
  3. Fill in Company Name, Address, Postal Code, City and Country.
  4. Add the Tax ID / VAT Number if applicable – including the country prefix.
  5. Click Save Company Settings.
  6. The next invoice issued through Paddle will use the new data. Existing invoices remain unchanged.

Which country should I enter?

Enter the country in which your business is tax-resident. Paddle uses this to decide whether VAT is charged, whether the reverse-charge mechanism applies or whether a country-specific sales tax is due. Private customers enter the country they live in.

Tax ID or VAT number?

Inside the EU the VAT number (e.g. DE123456789, ATU12345678) is what matters – it triggers the reverse-charge mechanism on B2B purchases. A national tax number alone is not enough for VAT-free EU cross-border purchases through Paddle. Outside the EU you can enter your national tax ID instead.

Best practices

  • Store the data before your first purchase – retroactive invoice corrections are not possible for tax reasons.
  • Always enter the VAT number with country prefix (e.g. DE, AT, FR).
  • Keep the company name identical to your commercial-register entry – this avoids accounting questions later on.
  • Update the address promptly when your business moves – the change applies starting with the next invoice.

Tip: Enter your VAT number before the first purchase. That way it already appears on the first invoice – a retroactive correction is not possible.

Troubleshooting

  • VAT is charged despite a valid VAT ID: Check that the ID contains the country prefix and that Country is set correctly. Save again and trigger the next checkout.
  • Wrong company name on the invoice: Correct the entry and save. The change applies starting with the next invoice – existing invoices remain unchanged.
  • Country set incorrectly: Leads to incorrect VAT calculation. Update the country before your next plan change or upgrade.
  • VAT ID without country prefix: Enter the ID in full (e.g. DE123456789, not just 123456789).

Note: Funnelforms only forwards the company data to Paddle for invoicing. No further sharing with third parties takes place.

Tips & notes

  • Reverse-charge example: an Austrian company with a valid ATU number stores it in the Tax ID / VAT Number field. Paddle then issues invoices without VAT.
  • You can update the data any time – but changes only apply to future invoices.
  • You can review all previously issued invoices in the Invoices tab.

FAQ

Can invoices be corrected retroactively? No. For tax reasons, issued invoices are final. Keep the company data up to date before every purchase.

Do I need a VAT number? No. Only businesses inside the EU but outside their own country benefit from the reverse-charge mechanism. Private customers leave the field empty.

Is company data available on the Free plan? Yes. You can store it on every plan – it is picked up automatically on any later purchase.

Do changes apply to active subscriptions immediately? Changes appear on the next invoice. Existing subscription invoices remain unchanged.
