Under Settings you set what applies to all forms of your website, for example the privacy mode, sending mails, spam protection, retention and rights. The page is divided into tabs. Funnelforms Free has up to four tabs, Funnelforms Pro up to six. This article shows what you find where.

Requirements

  • Funnelforms Free 5.0 or Funnelforms Pro 5.0.
  • You have the right "Change settings". Administrators always have it; for other roles you set it under Funnelforms → Settings → Rights.
  • Some areas need more: the tracking code, the privacy mode "Unrestricted", the diagnostic data, the tab "Rights" and the tab "Backup and way back" (Pro only) are for administrators only.

Where to find it

Step by step

  1. Open Funnelforms → Settings.
  2. At the top, click the tab that fits your topic.
  3. Change the setting in the matching card.
  4. In the same card, click Save (or the button of the card, for example Save key).
  5. Check that "Saved." appears at the top.

If the page takes you to the setup assistant instead, the setup is not finished yet. Administrators reach the Funnelforms pages only after it.

How it works

General

  • Privacy mode: EU (GDPR), recommended, Global (opt-out) or Unrestricted (at your own risk). It sets how every form handles consent for conversions, tracking code, Google Maps and captchas. Only administrators can switch on the unrestricted mode, with a confirmation. More in the article "Privacy mode (EU or global)".
  • Address fields (Pro only): Address suggestions and the map need your own Google Maps JavaScript API key with the Places API enabled. Enter it under "Google Maps key" and click Save key. Restrict the key to your website in the Google Cloud console. Forms with address suggestions stay on Funnelforms 3 until a key is set.
  • Tracking code: Funnelforms 3 ran the tracking code attached to steps and contact forms (such as conversion pixels) and the scripts in content steps in the visitor's browser. The new renderer runs them only if you tick "Run the tracking code and the scripts in the content of my forms", and in the EU privacy mode only with consent for marketing. Such forms stay on Funnelforms 3 until then. Only administrators who may publish unfiltered HTML can change this.
  • Diagnostic data: With "Send diagnostic data to Funnelforms (no content and no data about your visitors)" the plugin sends a report once a week. It is off by default. Only administrators can change it. More in the article "Sending diagnostic data to Funnelforms".

The menu entry "Funnelforms 3" shows until the forms of Funnelforms 3 are imported, and afterwards while one of them still runs on Funnelforms 3.

E-mail

  • Sending e-mails: Under Send through choose WordPress or SMTP server of my mail provider. For SMTP you enter Mail provider, SMTP server, Port, Encryption, User name and Password; the password is stored encrypted. Then Sender address and Sender name. This applies to notifications, confirmations, opt-in mails and reminders of Funnelforms. Other mails of your website stay as they are.
  • Mails and deliveries: With Send a test mail to me you check whether your website can send mails. Below are the latest deliveries with Time (UTC), Form, Delivery, Status, Attempts and Problem. Failed deliveries are tried up to three times; in Pro you can send them again in the entry.

Entries and spam

  • Deleting entries: Under "Delete entries after (days)" you set a period. Older entries are deleted every day, with their uploaded files. 0 keeps entries. 0 to 36500 days are possible. New sites start with 365 days. On sites with data from Funnelforms 3, the setting "Automatically delete leads" of Funnelforms 3 applies until you save a value.
  • Spam protection, spam folder and blocklists (blocklists Pro only): see the article "Spam protection, captcha and spam folder".

WordPress Site Health reports failed deliveries (see "Diagnostics and Site Health").

Interfaces (Pro only)

  • Webhooks: Forms on the new renderer sign every webhook with the "Webhook secret" (headers X-Funnelforms-Timestamp, X-Funnelforms-Signature and X-Funnelforms-Delivery). Receivers that check the signature need it. With Create a new secret you replace it.
  • Zapier, Make and n8n: With Create an access token you create access tokens with which automation tools read forms and new entries of your website. Create one token per tool, so you can revoke each on its own. A token can read all entries, nothing else; keep it secret. It is shown only once. AI assistants that speak MCP use the same tokens; they can read forms, statistics and entries and change nothing.
  • Forms on other websites: The external embed code shows forms on other websites. Under "Websites that may embed forms", list the allowed websites, one per line; subdomains are included. An empty field allows any website, as in Funnelforms 3.

CRM connections (Pro only)

You connect CRM and newsletter tools under Funnelforms → Integrations.

Rights

Only administrators see this tab. Here you control which roles may edit forms, see and export entries, and change the settings. More in the article on roles and rights.

Backup and way back (Pro only)

Only administrators see this tab, because restore points hold all data of Funnelforms 3. Here you create restore points, download them, restore them, and go back to Funnelforms 3 if you want. Funnelforms Free has no way back to Funnelforms 3 and so does not have this tab.

What may someone with "Change settings" do?

Someone with the right "Change settings" who is not an administrator may save the privacy mode (EU or global), Google Maps key, mail sending, retention, spam protection, blocklists, webhook secret and the allowed websites. The tracking code, the unrestricted privacy mode, the diagnostic data, the tab "Rights" and the tab "Backup and way back" stay with administrators.

Best practices

  • Save each card on its own. A change in one card is not saved when you click Save in another card.
  • Check the privacy mode before you use conversions or tracking code.
  • Set a deletion period for entries that fits your purpose.
  • Create a separate token for each automation tool.

Troubleshooting

ProblemCauseSolution
The page "Settings" is missing from the menu.Your user lacks the right "Change settings".Ask an administrator to grant it.
Every click on Settings leads to the setup assistant. The setup is not finished yet.Finish the assistant.
The tabs "Interfaces" and "Backup and way back" are missing. You use Funnelforms Free, or you are not an administrator (Backup and way back). These tabs exist only in Pro; "Backup and way back" only for administrators.
The option for the tracking code cannot be ticked.Your user needs the right to publish unfiltered HTML.Log in as an administrator with this right.
The tab "Rights" is missing.Only administrators see and change the rights.Log in as an administrator.
A form with address suggestions keeps running on Funnelforms 3.No Google Maps key has been entered yet.Save the key in the tab "General".
The token is no longer shown.A token appears only once.Create a new token and revoke the old one.

Tips

Note: If you switch tabs without saving, unsaved changes are lost.

  • The privacy mode, spam protection, diagnostic data, rights and privacy each have their own article.
  • After saving, the page shows "Saved." at the top.

FAQ

Do the settings apply to all forms? Yes. What you set here applies to the whole website.

How do I delete entries automatically? In the tab "Entries and spam" under "Delete entries after (days)". With 0, entries are kept.

Who may change the settings? Administrators and all roles with the right "Change settings". Some cards stay with administrators.

Why does Funnelforms Free have fewer tabs? Interfaces, blocklists, address fields and the way back to Funnelforms 3 belong to Funnelforms Pro, and so does the page Integrations with the CRM connections.
